Centralizing Project Staffing and Recruiting with a Salesforce-Native Solution

Background

A project-driven organization with high hiring volume managed projects in Salesforce but relied on disconnected tools, spreadsheets, and third-party platforms for staffing and recruiting. This fragmented approach limited visibility into resource capacity, open roles, and candidate pipelines, making it difficult to align talent with project demand.

The organization engaged Osprey Software to design a Salesforce-native solution that would unify project staffing and recruiting within a single, scalable platform.

Challenge

Key constraints included:

  • Staffing and recruiting workflows operating outside Salesforce
  • Manual processes that created delays and data inconsistencies
  • Limited visibility into skill availability across active and upcoming projects
  • No centralized view of project demand tied directly to recruiting pipelines

Project leaders could not easily search for available team members by skill or capacity. Recruiting teams lacked real-time alignment between open project roles and candidate status. Leadership had no consolidated view of workforce demand across the portfolio.

The company required a tightly integrated Salesforce architecture that embedded staffing and recruiting directly into project operations.

Solution

Osprey designed and implemented a fully Salesforce-native Project Staff Tracking and Applicant Tracking architecture.

Salesforce Project Staff Tracking

Using custom objects, relationships, and automation within Salesforce, Osprey built a staffing module that:

  • Models employee skills, certifications, experience, and availability
  • Links staff records directly to Salesforce project records
  • Enables advanced search and filtering for skill-based staffing
  • Tracks future staffing demand at the project level
  • Provides real-time visibility into resource allocation across the portfolio

Flow automation and validation logic ensure staffing data remains accurate and aligned with project updates.

Salesforce-Based Applicant Tracking System

Osprey also implemented a configurable Applicant Tracking System within Salesforce that:

  • Connects open project roles to candidate records
  • Manages recruiting stages using custom objects and automated workflows
  • Automates candidate progression, interview tracking, and offer management
  • Integrates onboarding processes into the employee lifecycle

Recruiting workflows were configured to reflect the organization’s business processes rather than forcing adaptation to a generic third-party ATS.

Results

The organization now operates with a unified Salesforce platform that connects projects, staffing, and recruiting in real time.

Business outcomes include:

  • A single system of record for project demand, staffing assignments, and candidate pipelines
  • Real-time visibility into open roles and skill gaps across all projects
  • Centralized staffing and recruiting data with reduced reliance on manual tracking
  • Transparent workforce demand forecasting driven directly by Salesforce project data
  • Management insight into trending skill needs and projected hiring requirements

By embedding staffing and recruiting directly into Salesforce, the organization eliminated system fragmentation, improved workforce planning accuracy, and created a scalable foundation for growth.
