Background
A major financial services provider in the automotive industry was launching a new product aimed at automating the complex process of issuing partial insurance refunds to consumers. This process, which occurs when an insurance policy is canceled before its maturity, involves coordination between numerous parties – financing providers, insurers, car dealerships, and intermediary service providers. The company engaged Osprey Software to help design and implement a solution that could streamline this intricate process, transforming it into a scalable, operationally efficient business function.
Challenges
At the heart of the problem was complexity: the refund process required tracking and coordinating data from multiple external entities, each with different data formats, timing, and requirements. There was no centralized system in place, and the refund process was labor-intensive and error-prone.
Additionally, the product team faced internal hurdles. The project had grown organically with little overarching architectural vision. This led to a fragmented technical design, performance and stability issues, and slower development velocity. A lack of clarity around business goals and shifting requirements further complicated efforts to deliver a clean, scalable solution.
Solutions
Osprey proposed and implemented a centralized platform to serve as a single source of truth for all refund-related data. These solutions included:
- A centralized data store, automatically populated by incoming data feeds from multiple external parties.
- A workflow-driven user interface, layered on top of the data store, designed to guide users through the refund process efficiently.
- Automated task queues, which used business logic to assign and prioritize user tasks.
- Automated data exports, created for downstream systems to seamlessly consume and act on finalized refund information.
- Integrated multiple third-party service providers to intelligently route insurance cancellations based on provider relationships and transaction pricing.
Results
The platform enabled the client to launch and support an entirely new business segment – one that did not previously exist. The solution helped operationalize a legally mandated refund process at scale, turning it from a compliance burden into a profitable service offering. While the client has since realigned its architectural strategy and is considering a phased migration away from the existing solution, the impact of Osprey’s work remains clear: a functional, revenue-generating product was delivered in a high-complexity environment.
