Modernizing Mission-Critical Document Processing with a Scalable Cloud Architecture
Background
A large insurance and lending services provider operated a core document and loan intake capability through a legacy import framework within its RefundPlus platform. Over time, increasing lender requirements, evolving file formats, and expanded document processing needs made the existing system difficult to maintain and extend.
The organization needed to modernize this capability while preserving stability for ongoing operations.
Challenge
The existing architecture was tightly coupled and increasingly rigid. This created several constraints:
- Limited scalability to support growing intake volumes and new partners
- High effort required to introduce new business rules and file formats
- Risk associated with changing a mission-critical processing system
- Heavy dependence on legacy components that constrained modernization efforts
The primary challenge was to modernize without disrupting live operations or losing established business logic.
Solution
The organization initiated a greenfield modernization effort to separate document and loan intake processing from the core RefundPlus platform through a new Data and Document Management (DDM) capability.
Osprey consultants embedded directly within the delivery team and contributed across architecture, design, and implementation. The solution included:
- A cloud-native, event-driven AWS architecture
- Automated file intake and document processing workflows
- OCR-enabled document handling to support structured data extraction
- Integration services connecting DDM with the RefundPlus core platform
- A modular design to support evolving lender requirements and future expansion
This approach enabled incremental modernization while maintaining continuity with existing business operations.
Results
The new DDM capability delivered a flexible and scalable foundation for document and lender file processing. Key outcomes included:
- Reduced reliance on legacy import components
- Improved agility in onboarding new lender requirements and file formats
- Streamlined document processing through automated workflows
- A scalable architecture designed to support ongoing modernization initiatives
The platform now serves as a foundational layer for continued evolution of the RefundPlus ecosystem.
Client Feedback
The DDM initiative was recognized as an important milestone in the broader modernization strategy. The Osprey team was valued for deep technical expertise, strong collaboration with internal teams, and consistent contributions to delivering a complex cloud-native solution in a high-stakes environment.
